1. Overview
This Privacy Policy explains how Nexivo, Inc. ("Nexivo," "we," "us") collects, uses, and protects information when you use our AI receptionist and executive assistant services, including our website, apps, and voice/call features (together, the "Service"). By using the Service, you agree to the practices described here.
2. Information We Collect
We collect information in a few different ways:
- Account information — name, business name, email, phone number, and billing details you provide when you sign up.
- Call data — audio, transcripts, and metadata (time, duration, caller number) from calls Nexivo answers or makes on your behalf, so it can book appointments, answer questions, and follow your instructions.
- Caller/customer information — names, contact details, and appointment information shared with Nexivo during a call, on your behalf as the business using our Service.
- Integration data — information from calendars, CRMs, or booking systems you choose to connect.
- Usage & device data — how you interact with our dashboard, browser/device type, and similar diagnostic information.
3. How We Use Information
We use the information above to:
- Operate the Service — answer and place calls, book and confirm appointments, and follow the rules you configure.
- Provide customer support and respond to your requests.
- Process billing and prevent fraud.
- Maintain and improve the reliability and safety of the Service.
- Communicate with you about your account, updates, or changes to our policies.
We do not sell your data, and we do not train general-purpose AI models on your calls or customer data without your explicit consent.
4. Call Recording & AI Processing
Calls handled by Nexivo may be recorded, transcribed, and processed by AI systems in order to deliver the Service — for example, to understand a request, check availability, and book an appointment. As the business using Nexivo, you are responsible for complying with call-recording and consent laws applicable in your jurisdiction, including notifying your own callers where required by law.
5. How We Share Information
We share information only with service providers who help us operate the Service — such as cloud hosting, telephony, and the calendar/CRM integrations you choose to connect — and only to the extent needed to provide the Service. We do not sell personal information. We may disclose information if required by law or to protect the rights, safety, or property of Nexivo or others.
6. Data Retention
We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. You can request deletion of your data at any time — see our
Data Deletion page for details.
7. Your Rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, or to object to or restrict certain processing. To exercise any of these rights, contact us using the details below.
8. Security
We encrypt data in transit and at rest, apply role-based access controls, and maintain a SOC 2 Type II program. See our
Security page for more detail.
9. Children's Privacy
The Service is not directed to children, and we do not knowingly collect personal information from children.
10. International Transfers
We may process and store information in countries other than your own. Where required, we use appropriate safeguards for these transfers.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we'll notify you by updating the date at the top of this page or by other reasonable means.
